Terms of Participation – GEO Forum 2025

By registering for the GEO Forum 2025, the participant agrees to the following terms:

1. Registration and Payment
Registration is confirmed upon successful ticket purchase or submission of a completed registration form, depending on participation type. Participation is secured only after payment of the participation fee in accordance with the issued invoice.

2. Participation Fee
The participation fee covers access to all sessions, conference materials, and catering. Travel and accommodation costs are not included and are the responsibility of the participant.

3. Cancellation Policy
– All cancellations must be submitted in writing.

– For cancellations received up to 30 days before the event, 80% of the participation fee will be refunded. The remaining 20% will be retained as an administrative fee.

– Cancellations made less than 30 days before the event are non-refundable.

– Substitution of participants is allowed at any time free of charge, upon prior written notification.

4. Event Changes
The organizer reserves the right to make changes to the program, speakers, or venue if necessary, as well as to cancel the event in case of force majeure or unforeseen circumstances. In case of event cancellation, participants will receive a full refund of the participation fee.

5. Liability
The organizer is not liable for any personal injury, loss, or damage to property during the event.

6. Photography and Recording
By attending the event, participants agree that photographs and video recordings taken during the forum may be used for promotional, informational, and documentation purposes, including publication on websites and social media channels.

7. Acceptance of Terms by Registration

By registering for the GEO Forum 2025, the participant confirms that they have read and accepted these Terms of Participation and the Privacy Policy. You also agree that your name, organization, and any materials you provide (such as logos or project descriptions) may be used for the purposes of event communication, promotion, and documentation, both online and offline.

8. Additional Terms for Ticket Holders (Audience Participants)

– By purchasing a ticket through Pretix, attendees agree to these Terms of Participation and the Privacy Policy.

– The ticket grants access to all public sessions of the GEO Forum 2025, as well as catering and event materials, as described in the ticket category.

– Tickets do not include travel or accommodation.

– Tickets are non-refundable. However, a transfer of the ticket to another individual is possible upon written request no later than 48 hours before the event.

– By attending the event, ticket holders consent to being photographed or recorded, and agree that such material may be used by the organizer for event documentation and promotion.

– Ticket sales are handled via Pretix (https://pretix.eu), and all transactions are also subject to Pretix’s Terms of Service and Privacy Policy, which apply in addition to this document.

2. Personal Data Collected
We collect the following personal data:
– Full name
– Contact details (email, phone number)
– Organization/company
– Position
– Invoice information
– Participation preferences and special requirements (e.g. dietary restrictions)

– Materials provided for promotional purposes (e.g., logo, project descriptions)

This includes data provided via the Pretix ticketing platform during ticket purchase.

3. Purpose of Data Processing
Your personal data will be used exclusively for the purposes of organizing and managing the GEO Forum 2025, including:
– Event registration and participation management
– Issuing invoices and payment processing
– Participant list preparation (only name and organization will be published)
– Communication related to the event
– Use of photographs and videos for documentation and promotional purposes, including publication on the organizer’s website, social media platforms, and in press materials.

4. Legal Basis
The legal basis for processing personal data is your consent (Article 6(1)(a) GDPR), the performance of a contract (Article 6(1)(b) GDPR), and the legitimate interests of the organizer or third parties (Article 6(1)(f) GDPR), especially in the context of event organization and communication.

5. Data Sharing
Your data will not be shared with third parties, except when necessary for event organization (e.g. catering, venue management) or selected event partners (e.g. co-organizers, speakers) when necessary for the execution of the event and always in compliance with GDPR.

6. Data Retention
Your personal data will be retained only as long as necessary to fulfill the purposes stated or as required by law.

7. Your Rights
You have the right to access, rectify, delete, or restrict the processing of your personal data at any time. You can also withdraw your consent for data processing at any time by contacting us at geo-forum@kwvd.de.

8. Objection to Promotional Communication
If you opt-in to receive updates, you can unsubscribe at any time via the provided contact details.

9. Consent to Data Processing

By registering for the GEO Forum 2025 and providing their personal data, the participant confirms that they have read and understood this Privacy Policy and expressly consent to the collection, processing, and use of their personal data for the purpose of organizing and conducting the event, in accordance with the General Data Protection Regulation (GDPR).
